The Facilities and Maintenance Supervisor at Plexal supports the day-to-day operation of workspace environments across the Stratford and Shoreditch sites. This is a hands-on role responsible for ensuring facilities operate safely, efficiently, and to a high standard, while remaining compliant with health, safety, and security requirements.
The role supports the upkeep of a diverse estate including office spaces, event venues, innovation labs, and makers’ yards. Working closely with the wider Operations and Workspace teams, the supervisor responds to reactive issues, coordinates planned maintenance, manages contractors, and supports a positive experience for Plexal members and stakeholders.

The Role's Purpose
What You'll Do
- Support daily facilities operations across all sites, including coordination of external service providers and contractors such as cleaning, security, electrical, water, and HVAC.
- Act as a main point of contact for contractors on site, ensuring works are completed safely, on time, and to agreed standards.
- Build and maintain positive working relationships with internal teams, members, and external suppliers.
- Manage and monitor the CAFM help desk, ensuring maintenance requests are logged, prioritised, and resolved efficiently.
- Support facilities budgets, procurement activities, and CAPEX projects in line with business needs.
- Assist with workspace changes, refurbishments, and improvements.
- Support and deliver office moves and internal reconfigurations.
- Undertake regular building inspections and walk‑arounds to identify issues early and maintain presentation, safety, and compliance.
- Respond promptly to reactive maintenance issues and coordinate appropriate resolutions.
- Support the delivery and tracking of planned preventative maintenance (PPM) schedules.
- Assist with event setup and breakdown when required.
- Support the implementation and day‑to‑day management of health and safety standards across all Plexal centres.
- Assist in maintaining health and safety documentation, including policies, procedures, and risk assessments for workspaces and non‑workspace areas such as event spaces, kitchens, innovation labs, and makers’ yards.
- Support compliance with all relevant health and safety legislation, regulations, and best practice.
- Support the physical security of Plexal centres.
- Liaise with Here East and Olympic Park security teams as required.
- Ensure security procedures and protocols are followed and reported appropriately.
Requests
- Respond to and manage member facilities requests, ensuring issues are tracked and resolved or escalated as appropriate.
- Communicate progress clearly where immediate resolution is not possible.
- Deliver a positive and customer‑focused service wherever possible.
Systems and Compliance
- Maintain logs and records for building services including electrical, water hygiene, and HVAC systems.
- Support routine testing of lighting, power outlets, and equipment.
- Assistin ensuring a safe and reliable water supply.
- Maintain HVAC records and support contractor servicing.
- Maintain physical workspace elements (walls, doors, furniture, greenlivingwall, coffee points)
- Manage physical moves within workspace
- Ensure cleanliness across Plexal spaces (workspace, makers' yard, innovation lab, event spaces)
- Assist with carbon reporting where required
- Assist with furniture moves and event delivery as and when required
Your Skills
- Strong working knowledge of building systems including HVAC, electrical, and plumbing.
- Experience coordinating contractors and managing service delivery.
- Familiarity with facilities management or CAFM systems.
- Strong organisation skills with the ability to manage multiple tasks and priorities.
- Clear communication skills and a collaborative approach to stakeholder management.
